B2B Campaign Closeout Plan: What Should Late Visitors See?
October 1, 2026
A practical closeout plan for expired offers, event pages and campaign links, with clear ownership for the promises that remain.
The webinar is over, but last month's registration ad still leads to its signup page. A sales email links to an expired offer. Someone has paused the campaign, yet nobody has decided what should happen to the people who arrive tomorrow.
A campaign closeout plan deserves the same attention as a launch plan. For a B2B team, closing it carefully means accounting for the pages, messages and promises that can outlive the original promotion. Use the following exercise to prepare that handoff before the deadline arrives.
List what remains visible
Start with one time-limited campaign. Record its ads, landing pages, downloadable files, scheduled messages and links used by sales or partners. Include items the team controls and items it must ask someone else to change. A paused ad does not remove a link already included in an email.
For each item, note its location, owner and intended end state. Keep the list short enough that someone can actually verify it. If an asset's location or owner is unknown, record that gap while there is still time to resolve it.
Decide what a late visitor should see
Consider a hypothetical software company promoting a live workshop. After the event, the page might offer an available recording, explain that registration has closed or point to a relevant evergreen resource. Choose the response that reflects what the company can genuinely provide.
Do not advertise a recording until it is ready and approved for sharing. If another workshop has not been scheduled, avoid inviting visitors to register for a date that does not exist. A clear explanation is more useful than an active button with an uncertain destination.
Check the headline, button, form explanation and confirmation message together. Updating only the headline can leave the rest of the page making the old promise.
Separate new interest from existing commitments
Stopping new registrations does not settle what is owed to people who already signed up. List any remaining materials, replies or event access the team promised. Assign responsibility for those items separately from the work of retiring the campaign.
For the workshop example, an attendee awaiting a promised worksheet has a different need from a new visitor discovering the event after it ended. The closeout plan should account for both without quietly substituting a sales conversation for the original resource.
Coordinate the change across channels
Agree the cutoff date, time and time zone. Tell each asset owner what changes at that point and what requires a separate decision. The person changing a web page may not control partner emails, sales templates or scheduled social posts.
Ask owners to report the actual state of their items: updated, paused, awaiting a decision or still unverified. Preserve the previous copy and relevant campaign records so later reporting can distinguish the promotion from the content that replaced it. The aim is a usable record of what changed.
Review the experience after closeout
Once the authorized updates are complete, follow the known links again. Confirm that expired language has been removed, the intended alternative is available and the page explains what happens next. Use the team's approved testing process if checking a form requires a submission.
Leave a named owner for late enquiries and unresolved links. Record exceptions rather than declaring the entire campaign closed because its main ad has stopped. This review establishes the condition of the assets; it does not prove a revenue increase or explain every change in traffic.
Bring an ending to the next campaign brief
